The maintenance controller is responsible for controlling all incoming requests for maintenance, repairs and tires on our fleet in the BeNeLux. He or she needs to negotiate with the dealers in order to effectuate the needed work for the best possible price (including guarantees and goodwill requests). This work is partially automated with ROB, the online platform between leasing companies and dealers.



This position is based in Brussels, Evere.
The maintenance controller looks after the correct usage of our preferred brands for tires and the correct use of our preferred suppliers.



Beside the negotiation part of the job there is also a large service part.
The Maintenance Controller needs to assist customer and drivers and support them in finding the answers to their technical questions related to cars. He/she finds solutions for customer with “issue-cars”. For our lessees the Maintenance Controller needs to follow up all breakdowns and make reservations for replacement cars as well as monitoring on any cars that have missed the maintenance schedule.
In addition to that the Maintenance Controller will be involved in setting up the maintenance budget and checking on the warrantees requested by buyers of our terminated lease cars.



Budget Control and Savings:
  • Optimize the usage of the warranty and goodwill of the OEM’s;
  • Compare repair requests with contractual parameters and rebill service to lessee where appropriate;
  • Rebill repair-costs to lessee whenever by abuse or misuse of the car;
  • Optimize repair-costs by repairing instead of replacing parts whenever this is possible;
  • Monitor contract parameters before giving orders for repair to avoid repairs of financial total losses;
  • Optimize the use of preferred brands for tires to get a maximum volume rebates;
  • Steer actively customers towards our preferred dealer network;
  • Compare the maintenance spend with the maintenance budget billed to the customer.



    Customer Service:
  • Respond swiftly to email or phone requests/demands providing technical advice in Dutch, English and French;
  • Ensure adequate timeframes/moderate delays to avoid asking drivers to wait for their cars to be back;
  • Monitor and follow up on cars that missed their regular maintenance schedule;
  • Deal with the drivers’ and customers’ questions about the technical control;
  • Make reservations for replacement cars on customers’ requests;
  • Coordinate OEM recall actions towards the drivers;



    Warranties:
  • Manage requests of our remarketing customers whenever there are technical issues with sold leasing cars. The requests needs to be eligible and validated.



    Setting up budgets:
  • Provide technical information to set up the maintenance grids for new cars or adapt it for the existing ones.
  • Car mechanics background or an equivalent work experience required;
  • Preferably experience in Fleet Leasing or in leading reception for a dealer;
  • In-depth knowledge of the car mechanics;
  • Outstanding negotiation and analytical skills;
  • Ability to work in cross-functional team (mainly with the Commercial and remarketing department);
  • Results oriented approach;
  • Excellent team-player;
  • Customer/Supplier responsive, problem solver, solution driven & clear sense of urgency;
  • Excellent verbal and written communication skills;
  • Fluency/very good knowledge of Dutch, French and English is a must;
  • Excellent computer skills, Excel & PowerPoint is required;
  • Knowledge of Business Objects is would be an asset.
