HR – Workforce Administration Analyst based in Warsaw

What you can expect:

The Workforce Administration Team in Europe, Eurasia and Africa is responsible for all SAP-HR updates for the 3000 associates within that region, reflecting the whole life cycle from hiring to separation on SAP-HR. As Workforce Administration Analyst you will be responsible for attending to high volume of on-demand requests in your key account business units/countries and conducting data integrity audits in your area. Master knowledge of SAP-HR (both organization and personal management) is key for this role, along with a solid understanding of HR processes and data analytics.

As Workforce Administration Analyst you will provide world class support for Coca-Cola employees, serving as the escalation point for cases raised by managers, associates, HR Strategic Business Partners and Cross-Functional Team Members in the areas of HRIS (=HR Information System, currently SAP-HR) in a designated key account area within Europe, Eurasia and Africa.  In addition to regular Workforce Administration requests this role will be responsible for complex Workforce Administration transactions and will execute regular data audits and ensure data integrity is maintained at a high level, and is corrected as required in the designated key account countries/business units.


This will be done by:


  • Ability to work across multiple geographies in a virtual working environment, fully utilizing technology and communication tools.

  • Being a change agent –ability to live with and manage ambiguity and cultural diversity.

  • Ensuring proper understanding of requestors needs or concerns through effective contacting and consulting with the requestor  and other HR colleagues as needed.

  • High customer focus and excellent follow up skills.

  • Task focused and very good eye for detail.

  • Focussing on timely and consistent execution.

  • Setting right expectations with the employees and others involved in terms of time required to complete request and authority and documentation needed to complete requests.

  • Conducting appropriate research and analysis according to each request.

  • Managing employee’s end to end cases after they have been escalated to you.

  • Using the right available tools and documenting all relevant information.

  • Creating contract addendums where expected of the Workforce Administration Team as per process design.

  • Ensuring all service requests are recorded in Salesforce (=Case Management Coca-Cola uses) as a case, ensuring accurate and timely keying in of data.

  • If required to hand over a case to the team member, ensuring that this hand over is completed with full information and content in the case notes and entered into the correct and agreed queue.

  • Reviewing and acting on client feedback to help improve service delivery.

As an expert on all Workforce Administration related processes and procedures you will identify any self-training gap, missing or wrong information at the company documentation and/or processes that need to be optimized and address it immediately as appropriate to ensure the gap is closed, reference materials are updated and/or processes are improved. You will analyse possible problems or issues and involve proper resources to identify root causes and help implement the right solution. Occasionally you will create Standard Operating Procedures (=SOPs) for repeatable business processes, and ensure adherence to all SOPs.

As Workforce Administration Analyst you will meet and exceed quality and productivity metrics while maintaining a constant focus on improving the Customer Experience and attaining high levels of Customer Satisfaction.

What you need to be successful:

We are looking for an experienced individual with a master SAP-HR experience & customer service orientation as well as strong attention to detail, problem solving and analytical skills.

This role requires at least five years of experience in Human Resources, three years of SAP-HR experience & experience in working in multi country / business unit HR services environment.

As future Workforce Administration Analyst at Coca-Cola you must have strong communication and analytical skills and also have proven in your previous work a good time management and the willingness to support customers in a professional and efficient manner. Excellent language skills in English are required for this role and preferably a second language (such as French, Spanish, German or Arabic). Previous experience in an HR Function, experience with case management tools and experience in using lean management/six sigma would be preferred.

In the customer facing role, the Sr. Project Manager is a key liaison between assigned customers, strategic partners and SAP during the implementation and support of SAP solution(s).
